Deine Mission

Als Vertrauensperson des CEO hältst Du ihm den Rücken frei: Du steuerst seinen Kalender, filterst Anfragen und sorgst am Hauptsitz in Bad Bentheim für Struktur, auch wenn er unterwegs ist.

Deine Aufgaben

  • Eigenverantwortliche Führung des CEO-Kalenders inklusive Priorisierung von Anfragen und konsequenter Freihaltung von Fokuszeiten
  • Filterung und Vorqualifizierung von Anfragen, Anrufen und Terminwünschen interner und externer Stellen
  • Vorbereitung von Terminen und Sitzungen: Agenda, Unterlagen, Kurzbriefings
  • Organisation sowie Vor- und Nachbereitung von Board-, Gesellschafter- und Managementsitzungen inklusive Protokollführung
  • Nachhalten von Beschlüssen, Zusagen und Wiedervorlagen gegenüber der Führungsebene
  • Komplette Reiseorganisation und Reisekostenabrechnung
  • Empfang und Betreuung von Gästen, Investoren und Geschäftspartnern am Hauptsitz
  • Allgemeine Sekretariats- und Korrespondenzaufgaben, vertrauliche Ablage und Dokumentenverwaltung
  • Verantwortung für Office-Organisation, Firmenveranstaltungen und organisatorisches Onboarding am Hauptsitz

Das bringst Du mit

  • Abgeschlossene kaufmännische Ausbildung oder Weiterbildung (z. B. Geprüfte/r Management-Assistent/in, Fremdsprachenkorrespondent/in) oder vergleichbare Qualifikation
  • Fundierte, mehrjährige Erfahrung im Vorstands- oder Geschäftsführungssekretariat
  • Absolute Diskretion und Loyalität im Umgang mit vertraulichen Informationen
  • Ein sicheres, verbindliches Auftreten gegenüber Geschäftsführern, Gesellschaftern und Führungskräften, auch wenn es darum geht, klar „Nein” zu sagen oder Zusagen konsequent einzufordern
  • Eine strukturierte, sorgfältige und vorausschauende Arbeitsweise
  • Sicherer Umgang mit Microsoft 365 (Outlook, Word, Excel, Teams)
  • Stilsichere Korrespondenz in Deutsch, gute Englischkenntnisse; Niederländischkenntnisse sind aufgrund unserer Standorte in den Niederlanden von Vorteil
