We are seeking an organized and adaptable Virtual Medical Scheduling Coordinator to support our client's high-volume Outpatient Medical practice. The ideal candidate possesses strong hands-on experience in U.S. healthcare scheduling and phone triage, with demonstrated proficiency in RingCentral, EHR management, and delivering high-quality patient support across administrative and telehealth workflows.
Key Responsibilities
- Appointment Scheduling & Management (Primary): Schedule, reschedule, cancel, and confirm patient appointments. Actively manage provider schedules, fill open slots, follow up with patients, and maintain meticulous notes within Conexem.
- Inbound & Outbound Call Handling: Manage incoming and outgoing patient calls via RingCentral, take messages, route/transfer calls accurately, document communications, and escalate clinical inquiries following established protocols.
- Medical Reception & Administrative Support: Assist with patient intake/demographics, EHR data entry, records management, referral handling, and telehealth support (patient prep, access guidance, and basic technical troubleshooting).
Requirements
Experience: 2+ years of U.S. medical practice experience (scheduling, medical receptionist, or front-desk administrative roles).
Phone System: Hands-on experience using RingCentral for inbound/outbound call handling and transfers (must be verified during screening).
EHR & Compliance: Proven experience with EHR systems and working knowledge of HIPAA regulations. (Experience with Conexem is a strong plus).
Communication & Work Ethic: Excellent English verbal and written communication skills, a professional phone demeanor, high attention to detail, and comfort operating within a structured enterprise setting.
Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour, depending on skill set and experience. The schedule is Monday through Friday, 8:00-5:00 pm PST.
