The Opportunity:
ROGERCO is seeking an experienced Protocol Specialist to support the Army Transformation and Training Command (T2COM) Headquarters Executive Services team. This role provides protocol, event execution, and hospitality support to Army leadership by planning and executing distinguished visitor (DV) engagements, official visits, ceremonies, hosted functions, and senior leader events in accordance with established military protocol, customs, and courtesies. The successful candidate will work directly alongside Government Protocol Officers, taking ownership of the administrative, logistical, hospitality, purchasing, and on-the-ground execution requirements that make every event and visit run with precision. This position requires a service-oriented, resourceful professional who can close out detail-level and short-notice requirements with minimal direction while supporting high-visibility engagements across T2COM.
Responsibilities:
- Coordinate end-to-end logistics for distinguished visitors and official visits, including itineraries, ground transportation, lodging, parking, and installation access.
- Prepare visit books, scene-setters, guest biographies, and minute-by-minute sequences of events for Government review and approval.
- Serve as on-site escort and point of contact for visitors and their staffs, maintaining schedule integrity and resolving real-time logistical issues.
- Support planning and execution of changes of command, change of responsibility, retirement, promotion, award, and other official ceremonies.
- Support hosted receptions, dinners, and social functions, including invitation outreach, RSVP tracking, guest lists, seating charts, and place cards in accordance with the DoD order of precedence.
- Direct guest flow, registration, and check-in, and coordinate room setup, staging, flags, and audiovisual requirements.
- Coordinate catering, menu development, BEO review, dietary and allergen accommodations, and beverage service in compliance with TABC requirements and applicable funding rules.
- Maintain accountability and inventory of protocol assets, including flags, coins, mementos, official gifts, and event supplies.
- Obtain quotes, prepare purchase requests, execute authorized purchases, and complete receipt and reconciliation packages.
- Develop and maintain a reliable local network of venues, caterers, vendors, and service providers to support planned and short-notice requirements.
- Own event-day details, including room readiness, signage, materials, vendor arrivals, setup, strike, and load-out, and provide hands-on surge support as needed.
- Maintain the Executive Services event calendar, trackers, checklists, and guest and contact databases.
- Develop standard operating procedures (SOPs), event checklists, and continuity files, and capture lessons learned following major events and visits.
Requirements
Qualifications:
- Active SECRET Security Clearance
- Five (5) or more years of professional experience in protocol, event planning, executive services, or a closely related field (e.g., military aide, VIP hospitality, government affairs, or banquet and catering operations)
- Completion of a formal protocol or event management training program (e.g., military or Federal protocol course, university certificate program, or CMP or CSEP certification)
- Demonstrated experience managing logistics for official visits, ceremonies, conferences, or hosted functions
- Experience coordinating catering and vendors and executing authorized purchases with receipts and reconciliation
- Current TABC Seller/Server Certification and Texas Food Handler Certification, or ability to obtain both within thirty (30) days of start
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to interact with poise and discretion with General Officers, senior executives, distinguished visitors, and their staffs
- Ability to manage multiple concurrent events in a fast-paced headquarters environment with rapidly changing priorities
- Ability to perform hands-on event work, including setup, strike, lifting and moving event materials, and work outside core hours (early mornings, evenings, and occasional weekends)
Desired Qualifications:
- Bachelor's degree in Hospitality Management, Business, Public Administration, Political Science, International Relations, Communications, or a related field
- Graduate of The Protocol School of Washington (PSW)
- Prior military protocol experience, or experience supporting General Officers, senior executives, or distinguished visitors in a DoD, Army, or Federal environment
- Working knowledge of military customs and courtesies, the DoD order of precedence, forms of address, and flag etiquette
- Professional bartending, banquet, catering, or restaurant management experience, including familiarity with BEOs and room diagrams
- Established network of venues, caterers, and vendors in the Austin, TX area
- Experience with SharePoint and event management or registration tools
