The posting

Our client is a private family relocating from Melbourne to Canggu, Bali. They are seeking an experienced, highly organized, and discreet Personal Estate Manager to act as the central point of coordination for their household and daily lifestyle requirements.

The Personal Estate Manager will remove administrative and logistical friction from the family's daily life, ensuring daily operations run smoothly, efficiently, and with minimal involvement required from the principals. This role takes full ownership of household logistics, vendor coordination, family scheduling, meal planning, and travel arrangements, anticipating needs before they become issues.

Requirements:

  • Background in Family/Household Management, Executive/Personal Assistance, Private Household Support, Villa Management, Luxury Hospitality, or Concierge Services.
  • Strong local knowledge of Canggu/Bali suppliers, service providers, and lifestyle networks.
  • Excellent English communication skills with the ability to deal confidently with local tradespeople, contractors, and external vendors.
  • Proven ability to take ownership of tasks from instruction through to completion, anticipating requirements rather than waiting for direction.
  • Minimum of 5 years' experience in the service industry or hospitality sector.
  • Exceptional multi-tasking capability, strong attention to detail, reliability, and emotional composure under pressure.

Key Responsibilities:

Proactive Family & Lifestyle Management

  • Maintains awareness of upcoming family commitments, anticipating bookings, appointments, transport, and household needs.
  • Identifies potential scheduling conflicts and researches suitable options when decisions are required.
  • Tracks recurring requirements, follows up on outstanding matters without reminders, and develops contingency plans.

Household Logistics & Administration

  • Coordinates household schedules, maintenance, repairs, tradespeople, and external service providers (cleaners, gardeners, pool maintenance, electricians, AC technicians).
  • Manages deliveries, collections, laundry/dry-cleaning services, and household supply inventories.
  • Keeps records of essential household information, builds a network of trusted local contractors, and verifies work quality.

Family Coordination & Travel

  • Manages family calendars, school-related logistics, extracurricular activities, and personal transport.
  • Handles travel movements, including airport transfers, luggage coordination, driver schedules, and itinerary preparation.
  • Coordinates restaurant, beach club, entertainment, and social engagement reservations.

Meal Planning & Food Coordination

  • Develops weekly meal plans in consultation with the family, taking individual food preferences into account.
  • Coordinates grocery orders, food deliveries, prepared meals, catering, or private chefs as required.
  • Maintains lists of preferred local cafes, restaurants, and food providers.

Appointments & Personal Services

  • Researches and arranges personal appointments, including grooming, wellness, medical, dental, and personal shopping.
  • Progressive builds and maintains a network of high-quality, trusted local service providers.

Privacy, Discretion & Working Style

  • Maintains strict confidentiality regarding all family affairs, movements, residence details, and personal data.
  • Communicates in a concise, organized, and practical manner, presenting solutions rather than operational problems.
  • Maintains clear professional boundaries while providing warm, reliable, and high-level support.
