Role Overview

We are seeking a highly detail-oriented Billing Specialist to join a growing accounting team supporting warehousing and trucking operations. The successful candidate will be responsible for preparing accurate and timely invoices, validating billing information, resolving documentation discrepancies, and ensuring all customer charges are processed correctly the first time. This role requires an individual who is comfortable working with high-volume transactional data, following structured processes, managing multiple deadlines, and coordinating with cross-functional teams to maintain billing accuracy and operational efficiency. Candidates must be willing to work remotely during USA business hours and demonstrate flexibility in their work schedules.

Key Responsibilities

  • Prepare and issue accurate customer invoices for warehousing and trucking services using company billing systems.
  • Review shipment, load, storage, and transportation documentation to verify billable activities and charges before invoicing.
  • Apply appropriate customer rates based on approved rate sheets, prior invoices, and billing guidelines.
  • Verify that all required supporting documentation such as delivery receipts, gate tickets, and rate confirmations are available before invoicing.
  • Follow up with internal teams to obtain any missing documentation required for billing.
  • Process recurring invoices, batch billing cycles, and month-end billing activities accurately and within deadlines.
  • Identify and resolve billing discrepancies through coordination with customer service, dispatch, account management, and operational teams.
  • Ensure invoices are delivered accurately and on time in accordance with company standards and customer requirements.
  • Maintain organized invoice records, billing trackers, and account documentation.
  • Follow established billing procedures while escalating non-standard situations or exceptions where appropriate.
  • Manage multiple customer accounts, billing queues, and competing priorities effectively.
  • Support continuous improvements in billing accuracy, documentation quality, and processing efficiency.

Candidate Profile

  • Diploma or equivalent educational qualification.
  • Strong attention to detail and accuracy when working with numerical data, rates, invoice references, and financial information.
  • Good proficiency in Microsoft Excel, Google Sheets, and general office applications.
  • Ability to learn new systems, billing platforms, and operational tools quickly.
  • Strong organizational and time-management skills.
  • Ability to manage multiple workflows and recurring deadlines simultaneously.
  • Excellent written communication skills, particularly for customer-facing billing correspondence.
  • Reliable, process-oriented, and comfortable following structured procedures.
  • Previous experience with accounting or invoicing software such as QuickBooks Online will be an advantage.
  • Experience using Transportation Management Systems (TMS) will be an advantage.
  • Previous experience within logistics, freight forwarding, transportation, trucking, warehousing, billing, or accounts receivable environments will be highly preferred.
  • Ability to work remotely during USA business hours with flexibility to support operational requirements.
