WE ARE HIRING: Documentation Executive

Location: Colombo, Sri Lanka

Employment Type: Full-time

Role Overview

We are looking for a dynamic and detail-oriented Documentation Executive to handle front-office and back-office documentation activities accurately and in real time. This role focuses on client onboarding documentation, regulatory compliance, record maintenance, and coordination with internal and external stakeholders, while ensuring confidentiality and high standards of customer service.

Key Responsibilities

  • Handle documentation for opening and maintaining client trading accounts.
  • Ensure all KYC (Know Your Customer) and regulatory documents are accurately collected and verified.
  • Assist clients with share lodgments, share transfers, and other administrative functions efficiently and accurately.
  • Maintain confidentiality and security of all client records at all times.
  • Build and maintain strong professional relationships with clients, delivering a high-quality customer service experience.
  • Maintain organized and up-to-date physical and digital records of client transactions, agreements, and correspondence.
  • Liaise with company secretaries of listed entities, Colombo Stock Exchange (CSE), Securities and Exchange Commission (SEC), Central Depository Systems (CDS), and other external parties when required.

Qualifications & Experience

Educational Qualifications

  • Successfully completed G.C.E. Advanced Level examination.
  • Holding a professional or higher educational qualification will be an added advantage.

Experience

  • Minimum of 1–2 years of experience in customer service and documentation-related roles.

Skills & Other Requirements

  • Excellent verbal and written communication skills in English and Sinhala.
  • Knowledge of Tamil will be an added advantage.
  • Strong computer literacy with proficiency in Microsoft Office applications (Word, Excel, Outlook, etc.).
  • Excellent planning, organizational, and time management skills.
  • High level of accuracy, attention to detail, and confidentiality.
