Role Overview

We are seeking a detail-oriented and customer-focused Executive – Logistics & Customer Service Representative to support logistics operations, shipment coordination, customer communication, and transportation planning activities. The successful candidate will play a critical role in managing customer orders, reviewing shipping documentation, coordinating shipment movements, and ensuring seamless communication between customers, dispatch teams, terminals, warehouses, and other logistics stakeholders. This position requires strong analytical capabilities, excellent customer service skills, and a thorough understanding of transportation and container logistics.

Key Responsibilities

  • Manage the order inbox and ensure customer orders are acknowledged and processed accurately and promptly.
  • Review customer communications and shipping documentation to extract critical shipment information.
  • Identify missing, incomplete, or conflicting shipment details and coordinate timely resolution.
  • Build and maintain complete and accurate shipment records, including booking information, container details, vessel information, delivery schedules, rates, and supporting documents.
  • Verify container availability, shipment restrictions, releases, holds, demurrage, detention, and other operational requirements.
  • Plan and coordinate container movements including terminal pickups, pre-pulls, yard staging, deliveries, empty returns, and other transportation activities.
  • Coordinate closely with dispatch teams, warehouses, terminals, billing teams, customers, and shipping lines to ensure smooth execution.
  • Recognize and coordinate warehouse-related services including transloading, devanning, cross-docking, storage, and distribution activities.
  • Maintain accurate shipment statuses, customer records, operational notes, and documentation.
  • Proactively communicate shipment updates, delays, ETA changes, appointment scheduling challenges, and operational risks to customers.
  • Ensure all loads are fully prepared and dispatch-ready before handoff to execution teams.
  • Maintain high standards of data accuracy, customer service, operational turnaround times, and documentation quality.
  • Support continuous improvement initiatives aimed at enhancing operational efficiency and customer satisfaction.

Candidate Profile

  • Minimum 2 years of experience in Logistics, Transportation, Freight Forwarding, Drayage, Intermodal Services, Warehousing, NVOCC Operations, or a related field.
  • Excellent written and verbal communication skills in English.
  • Strong customer relationship management and customer service capabilities.
  • Good understanding of container shipping and transportation terminology, including LFD, per diem, demurrage, detention, chassis, empty returns, hazmat, and in-bond shipments.
  • Ability to read, interpret, and validate shipping documents such as Bills of Lading, Delivery Orders, Booking Confirmations, Arrival Notices, Packing Lists, Commercial Invoices, Customs Releases, and Rate Confirmations.
  • Strong ability to identify discrepancies and resolve operational issues before shipment execution.
  • Experience making routing and shipment planning decisions involving pre-pulls, live unloads, yard staging, empty returns, and street turns.
  • Exceptional attention to detail with the ability to manage high volumes of documentation and data entry accurately.
  • Proficiency in Transportation Management Systems (TMS) and Microsoft Office applications or Google Workspace.
  • Experience with PortPro or similar logistics management platforms will be an advantage.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work independently, prioritize competing demands, and manage multiple shipments simultaneously.
  • Strong follow-up discipline and commitment to service excellence.
  • Willingness to work remotely on US business hours with flexibility to support operational requirements.
