Location: Malabe, Sri Lanka

About the Role

Our client is seeking a highly organized and proactive Operations Executive to support service operations, job scheduling, customer coordination, and ERP-based workflow management. This role plays a critical part in ensuring the efficient planning and execution of service and repair activities while maintaining strong communication with customers and internal teams.

The ideal candidate will possess excellent coordination skills, strong administrative abilities, and the capability to manage multiple operational activities within a fast-paced engineering environment.

Key Responsibilities

  • Prepare weekly and monthly service and repair schedules by reviewing ongoing and upcoming service requirements.
  • Contact customers to confirm daily and weekly service visits.
  • Share daily, weekly, and monthly job schedules with relevant teams.
  • Develop weekly tour plans based on operational requirements and monthly schedules.
  • Coordinate closely with workshop teams and job owners to ensure smooth execution of service activities.
  • Open job orders and generate Material Requisition Notes (MRNs) using the ERP system.
  • Update service-related information within the HRMS and relevant operational systems.
  • Monitor daily job progress and provide timely updates to workshop teams and stakeholders.
  • Ensure job completion procedures are followed and verify that completed jobs are closed within the ERP system.
  • Manage customer interactions and assist in resolving service-related issues and complaints.
  • Prepare daily and weekly reports on workshop performance, job completion status, and operational activities.
  • Support management in achieving operational efficiency and service excellence.
  • Perform any additional duties assigned by management from time to time.

Requirements

  • G.C.E. Ordinary Level and G.C.E. Advanced Level qualifications.
  • Full-time or part-time Technical Qualification in Mechanical, Electrical, Business Management, or an equivalent discipline.
  • Minimum 1–2 years of experience in a similar operational or coordination role.
  • Good understanding of island-wide geographical locations and travel routes.
  • Excellent communication skills with the ability to convey information clearly and effectively.
  • Strong planning, coordination, and analytical capabilities.
  • Good problem-solving and negotiation skills.
  • Excellent command of both English and Sinhala.
  • Strong IT literacy, including proficiency in Microsoft Word, Excel, and PowerPoint.
  • Ability to work independently with minimum supervision.
  • Strong organizational and multitasking skills.
  • Customer-focused mindset with excellent interpersonal skills.
