Role Overview

We are seeking a proactive and detail-oriented Operations Executive to support logistics operations, transport coordination, hotel reservations, documentation, port entry processes, and vessel operation support.

The selected candidate will be responsible for monitoring operational emails, coordinating with transport providers and hoteliers, maintaining records, updating systems, supporting OKTB issuance for crew, and attending port-related activities when required. This role requires strong coordination skills, attention to detail, and the ability to work in a fast-paced logistics environment.

Key Responsibilities

Transport & Hotel Coordination

  • Monitor emails and requests related to transport and hotel requirements.
  • Coordinate with transport providers for crew and operational travel arrangements.
  • Coordinate with hotels for bookings, reservations, and related requirements.
  • Ensure transport and accommodation arrangements are completed accurately and on time.
  • Follow up with service providers to confirm schedules, availability, and booking details.

Documentation & System Updates

  • Maintain accurate records of operational documents and booking details.
  • Update internal systems with transport, hotel, crew, and operational information.
  • Ensure documentation is properly organized and accessible when required.
  • Support the team with accurate data entry and administrative coordination.

Crew Support & OKTB Coordination

  • Support the team in handling OKTB issuance requirements for crew.
  • Coordinate required information and documents for crew travel arrangements.
  • Follow up on pending requirements to ensure timely completion.
  • Communicate with relevant stakeholders to support smooth crew movement.

Port Operations Support

  • Attend port when required for port entry passes and vessel operation-related activities.
  • Coordinate port entry pass arrangements across all required ports.
  • Support vessel operation requirements by coordinating with relevant internal and external parties.
  • Ensure port-related activities are handled efficiently and professionally.

Candidate Profile

  • Previous experience in logistics, shipping, vessel operations, travel coordination, or operations support will be an advantage.
  • Good communication and coordination skills.
  • Ability to manage emails, bookings, documents, and operational follow-ups accurately.
  • Strong attention to detail and ability to maintain proper records.
  • Good computer literacy and system update skills.
  • Ability to coordinate with transport providers, hoteliers, port authorities, and internal teams.
  • Ability to work under pressure and manage multiple tasks at the same time.
  • Willingness to attend ports when required.
  • Good organizational and problem-solving skills.
  • Professional attitude with the ability to support time-sensitive logistics operations.
