Location: Ratmalana, Sri Lanka

Employment Type: Full-Time

About the Role

Our client is seeking a highly organized and detail-oriented Sales Coordinator to support sales operations, order processing, customer coordination, and internal workflow management. This role plays a critical part in ensuring smooth communication between customers and internal departments while maintaining accurate order processing and timely delivery execution.

The ideal candidate will have strong ERP experience, excellent communication skills, and the ability to coordinate effectively with Sales, Production Planning, Quality, Stores, Logistics, and Finance teams.

Key Responsibilities

Order Management & Customer Coordination

  • Receive and review customer purchase orders, ensuring quantities, specifications, artwork, pricing, and delivery dates are accurate before forwarding to Production Planning.
  • Enter customer orders, quotations, and related sales information into the ERP system accurately and promptly.
  • Track all open orders from receipt through dispatch and delivery.
  • Coordinate with Production Planning, Stores, Logistics, and other departments to ensure orders are delivered on time.
  • Respond to customer inquiries regarding order status, deliveries, documentation, and sample requests.
  • Proactively identify potential delays and coordinate revised delivery plans with internal stakeholders.

Sales Administration

  • Prepare quotations, proforma invoices, price lists, and sample requests for the sales team.
  • Maintain accurate customer records and sales information within the ERP system.
  • Ensure all sales-related documentation is updated and properly maintained.
  • Support the sales team with administrative and coordination requirements.

Customer Service & Complaint Handling

  • Log and monitor customer complaints.
  • Coordinate with Quality and relevant departments to investigate issues and ensure timely resolution.
  • Follow through until complaints are formally closed and corrective actions are implemented.
  • Maintain high levels of customer satisfaction through effective communication and follow-up.

Reporting & Internal Coordination

  • Prepare weekly and monthly sales reports for the Head of Sales and Sales Managers.
  • Generate reports and analyze sales information through the ERP system.
  • Coordinate with Finance regarding order processing, invoicing, and customer-related matters.
  • Support continuous improvement initiatives within the sales administration process.
  • Maintain accurate order tracking, reporting, and operational records.

Requirements

  • Degree in Business Management, Marketing, Management, or a related discipline.
  • Diploma in Marketing or Business Administration with strong ERP experience will also be considered.
  • Minimum 1-3 years of experience in Sales Coordination, Sales Administration, Customer Service, Order Processing, or a similar role.
  • Hands-on experience with ERP systems such as SAP, Oracle, Microsoft Dynamics, IFS, or a similar platform is essential.
  • Strong Microsoft Excel skills.
  • Excellent written and spoken English communication skills.
  • Strong organizational, coordination, and multitasking abilities.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines effectively.
  • Strong stakeholder management and follow-up skills.
  • Knowledge of flexible packaging, printing, manufacturing, or related industries will be an added advantage.
  • Candidates residing within easy reach of Ratmalana will be preferred.
