WE ARE HIRING: Senior Documentation Executive

Location: Rajagiriya, Sri Lanka Employment Type: Full Time Industry: Freight Forwarding / Logistics / Customs Brokerage / Supply Chain

Role Overview We are seeking a detail-oriented Senior Documentation Executive to manage and coordinate customs clearance activities for import and export shipments. The successful candidate will ensure timely cargo clearance, regulatory compliance, accurate documentation preparation, and effective coordination with customs authorities, freight forwarders, brokers, and internal stakeholders.

Key Responsibilities

  • Handle end-to-end customs clearance processes for import and export shipments.
  • Coordinate with Customs, freight forwarders, shipping agents, airlines, and clearing agents to ensure timely cargo release.
  • Monitor shipment status and proactively resolve clearance-related issues.
  • Follow up on customs inspections, examinations, permits, and approvals.
  • Prepare, review, and submit customs clearance documents.
  • Ensure accuracy of HS codes, valuation, duty calculations, and declarations.
  • Maintain compliance with customs regulations and government requirements.
  • Stay updated on customs laws, tariffs, import/export restrictions, and regulatory changes.
  • Liaise with suppliers, transport providers, customs brokers, and government agencies.
  • Provide shipment clearance updates to management and relevant departments.
  • Support internal teams with customs-related requirements and queries.
  • Verify customs duty, VAT, taxes, and clearance charges.
  • Monitor and control clearance-related costs.
  • Identify opportunities to improve clearance efficiency and reduce delays.

Candidate Profile

  • Diploma or Degree in Logistics, Supply Chain, International Trade, Business Administration, or a related field.
  • 2–5 years of experience in Customs Clearance, Import/Export Operations, or Freight Forwarding.
  • Strong knowledge of customs regulations and import/export procedures.
  • Familiarity with customs clearance systems and documentation requirements.
  • Excellent coordination and communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency in Microsoft Office applications.
  • Ability to work under pressure and meet strict deadlines.
