This is a senior facilities management role overseeing day-to-day operations, maintenance, capital planning, and facility strategy. You will serve as a key point of contact for clients, property owners, tenants, vendors, and contractors. The role combines operational leadership with financial management, project coordination, and risk oversight. You will ensure building systems remain reliable, efficient, compliant, and aligned with service expectations. You will manage vendor relationships and contracts while supporting budgeting, forecasting, and long-term planning. Success requires strong judgment, organization, communication, and the ability to manage competing priorities. Accountabilities
- Lead day-to-day facility management activities, including maintenance operations, building systems, infrastructure, emergency planning, and long-term facilities strategy.
- Develop and implement maintenance and operational programs that promote reliable, efficient, and high-quality facility performance.
- Manage vendor relationships and service contracts from the bidding and selection process through implementation, transition, and ongoing performance management.
- Coordinate construction projects, capital planning, operational initiatives, and other facility-related projects while maintaining appropriate timelines and service standards.
- Build and maintain strong relationships with property owners, occupants, tenants, vendors, contractors, and other stakeholders.
- Prepare annual budgets, monitor financial performance, analyze actual-versus-budget variances, and support tenant reconciliations.
- Negotiate and execute local vendor service agreements and ensure contracted services are delivered according to expectations.
- Ensure compliance with applicable federal, state, and local regulations, as well as risk management standards, company policies, and client requirements.
- Prioritize daily tasks, allocate resources effectively, and oversee operational activities in a fast-paced environment.
- Prepare reports and provide clear operational, financial, and project updates to relevant stakeholders.
- Identify opportunities to improve facility operations, service delivery, efficiency, and overall client satisfaction.
- 7+ years of experience in property management, facilities management, or a closely related field.
- Bachelor’s degree from an accredited university or college in a relevant discipline; equivalent professional experience may also be considered.
- Strong knowledge of building systems, infrastructure, facility operations, and maintenance practices.
- Demonstrated experience managing maintenance operations and external vendor services.
- Solid financial and accounting knowledge, including budgeting, forecasting, financial reporting, and variance analysis.
- Strong understanding of contract management, vendor negotiations, and service delivery oversight.
- Excellent organizational and time-management skills, with the ability to prioritize multiple responsibilities and allocate resources effectively.
- Strong interpersonal, written, and verbal communication skills, with a demonstrated commitment to high standards of customer service.
- Strong negotiation skills and the ability to manage sensitive stakeholder and management issues professionally.
- High attention to detail and proficiency with computer and administrative tools, including Adobe Acrobat Pro.
- Ability to adapt and grow as the scope and responsibilities of the position expand.
- RPA, CPM, or CFM certification is preferred.
- Experience with facilities management outsourcing and remote operating models is an advantage.
