This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Listing Coordinator (Real Estate) based in India.
In this role, you will play a critical part in supporting end-to-end real estate listing processes for a fast-paced, dynamic real estate operations team. Operating in a fully remote environment, you will manage backend organization, data entry, transaction documentation, and client-facing communications with high precision and confidence. You will take ownership of listing setups across dedicated property management platforms, tracking paperwork, managing deal boards, and maintaining updated inventory spreadsheets. Working with structured checklists, transaction portals, and CRMs, you will organize incoming offers, coordinate property showing notifications, and keep key financial reports accurate. Accountabilities:
- Listing Lifecycle Support: Manage full listing workflows from initial folder creation and document prep in Dotloop to data entry in SWIFT, pushing listings live, and finalizing post-launch setups.
- Transaction & Offer Management: Organize incoming buyer offers, prepare listing agreements, track required paperwork and signatures, and manage the seller deal board within Follow Up Boss.
- Platform & Inventory Operations: Maintain property listings across marketplace platforms (such as PadSplit and SWIFT), updating team inventory spreadsheets and running monthly financial reports.
- Showing & Client Coordination: Collect showing feedback, communicate updates with sellers and team members, and notify occupied properties regarding scheduled viewings.
- Agent & Operational Support: Prepare buyer documentation (brokerage agreements, offers) for team agents, assign incoming marketplace leads, and execute comprehensive listing checklists.
- Real Estate Background: Prior experience in real estate listing coordination, transaction management, or real estate virtual assistance (experience with US real estate transactions is highly advantageous).
- CRM & Software Proficiency: Hands-on experience using CRM platforms (e.g., Follow Up Boss), transaction management tools (e.g., Dotloop), listing management portals, and Todoist.
- Google Suite Mastery: Strong working knowledge of Google Suite tools (Docs, Sheets, Forms, Drive) with a high comfort level managing spreadsheets, databases, and checklists.
- Organizational & Task Execution: Exceptional attention to detail and task management capabilities, with the ability to prioritize and multitask in a high-volume, fast-paced setting.
- Communication & Soft Skills: Excellent written and verbal English communication skills, direct communication style, proactive problem-solving ability, and a solution-oriented mindset.
