The posting

**Your impact begins here

**As Personal Assistant, Drug Product Manufacturing International Operations, People & Organisation (DPM IO P&O), you will keep a global leadership team organised, aligned and moving. You will support the Associate Vice President and coordinate the leadership meetings, key processes and planning cycles that shape how the organisation works. By creating clarity around priorities, deadlines and actions, you help colleagues focus on the decisions that matter and help DPM IO P&O deliver progress at pace. The location will primarily be in Tåstrup, Denmark.

**What You’ll Bring

**You are organised, outcome oriented and proactive, and you enjoy being the person who makes things work across teams and time zones.

  • A relevant office or administration qualification, a bachelor's degree or a similar background.
  • Minimum 3 years in a comparable administrative, personal assistant or coordination role.
  • Strong proficiency in corporate administrative, HR and finance systems.
  • Excellent written and spoken English.
  • Strong planning, prioritisation and stakeholder-management skills, with the ability to manage multiple deadlines and follow through on actions.
  • A high degree of consideration and sound judgement when handling confidential matters.
  • Basic project-management capability and business understanding to anticipate needs and connect activities across the P&O agenda.
  • A proactive and collaborative approach, and comfort working independently across organisational levels.
  • Strong attention to detail combined with an, improvement-oriented mindset.

**Useful, But Not Essential

**Experience from a large international corporate environment.

**What You’ll Do

**You will be the coordination point for the DPM IO P&O Leadership Team and the Associate Vice President, making sure meetings, processes and plans run smoothly from start to follow-up.

  • Manage and prioritise the Associate Vice President's calendar, travel, expenses and confidential matters, coordinating across multiple global locations and time zones.
  • Plan and run Leadership Team meetings and offsites: build agendas, align with presenters, quality-check materials, distribute pre-reads, manage logistics and track agreed actions.
  • Coordinate recurring P&O annual-wheel activities, including Talent processes, Talent Reviews and programs, by setting timelines, requesting inputs and following up so work is completed on time. Depending on business needs and your capability, you can take responsibility for defined workstreams or a broader part of program coordination.
  • Support the P&O Performance Board from planning to follow-up, coordinating inputs and materials and keeping decisions and actions visible.
  • Drive business planning and administration, including budget processes and monthly follow-up, together with the Leadership Team and Finance partners.
  • Strengthen communication and information management through presentations, Teams and SharePoint structures, mailboxes and distribution groups, and own onboarding of new P&O Leadership Team members.
  • Keep improving ways of working to simplify processes and strengthen execution.

**Who You’ll Work With

**You will report to the Associate Vice President, DPM IO P&O, and across both the global P&O organisation and the global manufacturing organisation

Day to day, your closest partners are the Associate Vice President, the DPM IO P&O Leadership Team and the Project Manager for global projects. You will also work with Finance partners and P&O process owners on budgets and recurring processes, and with the DPM IO Leadership Team assistants and the wider P&O assistant network on cross-organisational coordination. You will have contact with external candidates, vendors and other business contacts around interviews, meetings, events and travel.

The role has a global scope, with coordination across sites in 11 countriesacross time zones and with different cultures. You will follow up directly with stakeholders on inputs, actions and deadlines, and escalate strategic, content, budget and management decisions where they belong.

**What You Can Expect Here

**You will work in a global environment where your initiative is valued and your judgement is trusted. You will have a high degree of independence in your area, and the room to suggest better ways of working and use digital tools to simplify how the team operates.

You will build a broad view of the P&O agenda by working with talent programs, planning cycles and leadership activities, and you will be part of a network of assistants who share practices across the organisation. Your contribution will be visible in how well the team moves.

Salary and Benefits: The Annual Base Salary ranges from 499,600.00 to 734,400.00 DKK, corresponding to the level of the position. The placement within the salary range will be assessed during the recruitment process based on the candidate’s skills, competencies, knowledge, and relevant experience.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
