Job Description

We are looking for a responsible, organised, and detail-oriented Admin Executive to support our daily business operations. The role involves general administrative duties, coordinating delivery schedules with drivers, arranging shipments, and liaising with customers, suppliers, and logistics partners to ensure smooth and timely deliveries.

Key Responsibilities

  • Perform general administrative duties, including data entry, filing, documentation, and maintaining accurate records.
  • Coordinate with drivers to arrange and monitor daily delivery schedules.
  • Prepare delivery orders, invoices, packing lists, and other relevant documents.
  • Arrange shipments and coordinate with freight forwarders, shipping agents, and logistics providers.
  • Liaise with customers, suppliers, and internal departments regarding orders, delivery schedules, and shipment status.
  • Monitor incoming and outgoing orders to ensure timely processing and delivery.
  • Assist in tracking shipments and resolving delivery or logistics issues promptly.
  • Maintain proper records of orders, shipments, and delivery documentation.
  • Provide administrative support for purchasing, sales, and inventory coordination when required.
  • Perform other ad hoc administrative and operational duties as assigned.

Requirements

  • Minimum 2 years of experience in relevant administrative experience.
  • Minimum GCE ‘A’ Level or equivalent
  • Proficient in Microsoft Office, especially Excel and Word.
  • Good organisational, communication, and coordination skills.
  • Able to multitask, work independently, and meet deadlines in a fast-paced environment.
  • Responsible, meticulous, proactive, and willing to learn.
  • Experience in logistics, shipping, trading, or the seafood/food distribution industry will be an advantage.
  • Able to commence work at 8:00 AM and commit to the required working schedule.
  • Willing and able to commute to the workplace, which has limited access to public transportation.

Working Environment

This role supports the day-to-day operations of a seafood trading business, where timely deliveries, accurate documentation, and effective coordination are essential.
