The posting

Position: Administrative & Marketing Support Specialist

Location: Remote | Full-Time

We are looking for a proactive and organized Administrative & Marketing Support Specialist to provide customer-facing support, marketing assistance, and operational support for a growing service-based business.

Key Responsibilities

Phone & Customer Communication

  • Answer incoming calls professionally and promptly
  • Handle client inquiries and provide excellent customer service
  • Assist with virtual interviews and other client-facing communications as needed

Marketing Support

  • Manage consistent social media posting and engagement
  • Execute and monitor email marketing campaigns using Mailchimp and Zapier
  • Support ongoing marketing initiatives and promotional activities
  • Maintain marketing schedules and ensure campaign consistency

Administrative & Operational Support

  • Assist with CRM management and data updates
  • Handle general administrative and back-office tasks
  • Support daily operations and help keep internal processes organized
  • Free up leadership to focus on client relationships and business growth

SOP & Process Documentation

  • Review, organize, and improve existing SOPs
  • Create clear process documentation, checklists, and training materials
  • Utilize Loom recordings, training videos, and other resources to document workflows
  • Identify gaps in procedures and recommend process improvements

Qualifications

  • Excellent verbal and written English communication skills
  • Strong customer service and phone-handling experience
  • Experience with CRM systems and administrative support
  • Familiarity with Mailchimp, Zapier, Loom, or similar tools
  • Highly organized with strong attention to detail
  • Ability to work independently and take initiative
  • Process-oriented with strong follow-through and accountability
