E-commerce Operations & Inventory Coordinator

Coordinator

OVERVIEW

We are recruiting on behalf of our client for an E-commerce Operations & Inventory Coordinator. Our client is a US-based multichannel e-commerce business specializing in discounted luxury designer merchandise, sold through Shopify, Amazon, eBay, a physical retail store, and wholesale channels. A related brand within the business manufactures its own products in partnership with overseas factories. This role is responsible for owning the full product record lifecycle — from purchase order creation through to live listing — and ensuring that stock levels remain accurate across every channel at all times. The position reports directly to the CEO and requires someone who is methodical, precise, and comfortable working within US Eastern Standard Time (EST) business hours.

KEY RESPONSIBILITIES Create a purchase order in the inventory management system for every vendor, pre-order, and factory order, based on details provided by the CEO, ensuring no stock is purchased without a corresponding record Own SKU creation end to end — assign SKUs according to the agreed naming format, check for duplicates, and maintain the integrity of the product master Reconcile incoming warehouse stock against open POs, log any discrepancies, and ensure differences are flagged and resolved before stock is made available for sale Enter received inventory into the system and maintain accurate, real-time stock levels across all selling channels to prevent overselling Track every item through the received-to-live pipeline — coordinating with the warehouse lead, photo editor, and pricing — and actively work to clear listing backlogs Build and maintain product listings on Shopify, Amazon, eBay, and Square, linking each listing to the correct inventory SKU to keep stock synchronized across channels Prepare weekly operational reports covering open POs, receiving discrepancies, and items not yet live, and participate in the weekly ops review meeting

REQUIREMENTS Matric (Grade 12) as a minimum; a National Diploma or relevant NQF Level 6 qualification in business, supply chain, or a related field is advantageous Minimum 2 years of hands-on experience in e-commerce operations, inventory management, or multichannel marketplace listing Demonstrated experience creating and managing listings on at least two of the following platforms: Shopify, Amazon Seller Central, or eBay Proficiency in Google Sheets and/or Microsoft Excel, with the ability to work confidently with structured data, formulas, and reconciliation tasks Strong written English communication skills, with the ability to follow up clearly and professionally with internal team members and external parties Highly organized and process-driven, with a track record of following operational procedures consistently and accurately

PREFERRED EXPERIENCE Prior experience with a dedicated inventory management system such as Finale Inventory, Cin7, Linnworks, SkuVault, or Sellbrite Exposure to multichannel retail environments that include both online marketplaces and a physical retail or wholesale component Experience coordinating with warehousing, fulfillment, or logistics teams as part of a broader operations function Familiarity with Square POS or similar point-of-sale platforms

KEY COMPETENCIES Strong communication skills High attention to detail Strong organizational skills Ability to work independently Professionalism and reliability

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
